From concept to completion.
Has your business outgrown your existing facility, or is your production area run down and in need of an upgrade? Or maybe you require a new production, storage or distribution facility in a different location, closer to your suppliers or core market?
Whatever the reason, you have been thinking about building a new facility or upgrading/extending your existing one.
Under an Early Contractor Involvement (ECI) model, Apollo becomes involved at the earliest possible stages and manages the design and construction of your project from concept to completion.
The process below is not generic and can be tailored to suit your requirements. While the most value is gained when we participate in the design phase, we can become involved at any stage and contribute industry-leading expertise and experience to the benefit of your project.
1. The Brief
The Apollo team is with you from start to finish. Our Business Development Managers are experts in their respective fields, and your first point of contact when you are considering a project.
From the earliest stages, they will work alongside you to establish exactly what it is you want and need out of your facility. They will assist in identifying the key project deliverables (such as design, budget and programme), while offering specialist advice based on Apollo’s experience and expertises.
2. Concept Agreement
Once a high-level understanding of your project scope is established, you will be presented with a Concept Agreement, outlining the process and associated costs involved in the production of a Concept Report. The Concept Report is an incredibly valuable document which allows the project to be defined in sufficient detail to create 100% clarity around what is to be delivered, when, by whom and at what cost – the aim is minimalistic design but with extremely accurate outputs.
Our clients have found that the detailed project information alleviates the risk of unnecessary assumptions which can cause project ambiguity later on, and allows informed decisions to be made around:
- Project feasibility
- Board approvals
- Land purchase/lease
- Commercial negotiations with tenants
As soon as the Concept Proposal is signed, Apollo will assemble a team from our pool of trusted consultants and design/build subcontractors with expertise appropriate to your project, and begin the Concept process.
3. Concept Report
During the Concept Process, Apollo will work closely with you to workshop your idea and manage the design team in the preparation of a preliminary design. Our design team may include architects, structural and fire engineers, geotechnical input, process engineers and mechanical and electrical contractors. Apollo manages the project scope and design team while providing valuable practical advice around project buildability, layout and process flow, to compliment the theoretical engineering. This blend of consultants and contractors working together invariably creates more efficient designs and reduces the risk of variations in subsequent stages. .
As well as the design, Apollo will also prepare:
- An outline specification – you will receive a comprehensive breakdown of the building and services, including all external and internal materials and equipment in line with your budget
- A preliminary budget – largely market tested and includes any options for consideration,
- A preliminary programme – a timeline identifying the key project milestones and critical path
Throughout this process all options around design and material selection are discussed and considered. The early input of our consultants, subcontractors and suppliers provides more certainty around both costs and timing.
Most importantly, our ‘Safety in Design’ workshops consider Health & Safety from the start so that the design incorporates smarter and safer ways to build and maintain the facility..
Once this comprehensive report has been compiled it will be presented to you for consideration.
4. Detailed Design Phase
After the report has been presented to the client and reviewed we are able to react quickly to scope and design changes. As the Main Contractor, any budget implications are reflected immediately in our pricing – in contrast to an architect or Project Management Office, who would need to reissue the designs back to the subcontractor market for updated costing, taking valuable time.
Once the design is finalised, the Concept Report is accepted and becomes part of our construction contract. We are flexible on open book or fixed price and can talk through the pros and cons of each contract structure.
By this stage the Apollo on-site delivery team has been appointed.
The delivery team may consist of a Project Director, Senior Project Manager, Project Manager and Site Manager(s) depending on the size and scope of the project. They are supported by the company Project Coordinator, Quantity Surveyor, National Health & Safety Manager and Finance and Administration teams, making sure your project is looked after from every angle. If there are gaps in the process mistakes happen – our robust structure and systems prevents this from happening.
During the pre-construction phase, the Apollo team will manage all statutory approvals including Resource and Building consent applications, PIM, trade waste discharge and regional authority approvals.
A procurement strategy will also be presented to the client and can include any client nominated contractors. Once agreed, Apollo will prepare detailed and accurate trade scopes for all trade packages. Our exclusive Service Partnership Agreements with trusted subcontractors also means your project will receive preferential treatment for project commitment, pricing, quality and performance.
The project team will arrange all aspects of site set-up and mobilisation including surveying, access, fencing, site shed and amenities, signage and the preparation of a Site Specific Safety Plan – laying the best possible foundation for the construction phase.
Our experienced project team will manage the construction process, including:
- Health & Safety
- Site Management
- Subcontractor coordination and communication
- Cost Control
- Quality Assurance and Inspections
- Programme Management
- Environmental Management
At Apollo we know collaboration and communication is key at every stage. You will be kept up to date with project progress via a Weekly Update report tracking progress of key on-site activities. Similarly, a more formal monthly Project Control Group (PCG) reports and meetings provide a more in-depth examination of budget, procurement, design and approvals.
7. Commissioning & Training
Our role doesn’t finish when the construction is complete. We take total responsibility of all effective plant operating systems, training and procedures. We work closely with you and your team to make sure all maintenance and operational requirements are clear, and we compile comprehensive Operations and Maintenance Manuals to ensure you have all the information you need to run an efficient and effective facility.
This project has been completed in about a third of the time it normally takes to design, plan and build a major police station. It’s been an outstanding effort from everyone involved. This is a very different environment from the premises we’ve occupied in the past. It’s modern, spacious and high-tech – and having so many of our staff on one site is encouraging us all to work more collaboratively.
In all our dealings with Apollo they always acted with the upmost integrity and professionalism. From taking the project brief to consultation with all key stakeholders within our organisation Apollo certainly played a significant role in ensuring that the project was a complete success from every angle.
The design team Apollo assembled was first rate and contributed significantly to what has proven to be a first class facility. Apollo’s performance in managing this design process was also to a very high standard. Apollo certainly excels in the incorporation of buildability and construction input into the design process. This ensured that the majority of the design issues were clarified prior to the construction phase on site.
I am delighted to say that Apollo rose to the challenge and delivered a turnkey solution on time and within budget. They pulled out all the stops.
The professionalism that Apollo have shown throughout the Edendale Redline upgrade is to be commended. Their attention to detail ensured that the quality of workmanship from all trade staff involved met the food safety standards required as well as stepwise innovative improvement which met Fonterra’s strategy to be “The World’s most trusted source of dairy nutrition.” This project had a challenging time constraint window which Apollo managed extremely well, and now the site has one of the best redlines in the country.
